Virtual Assistant

Are you a genuine, positive and go-getting female entrepreneur with a passion for problem solving and implementing funnels and processes to support the operations of an online business?

ABOUT THIS ROLE:

In this role, you’ll work closely with the CEO to ensure all clients are taken care of to help keep the business running smoothly behind the scenes. You’ll help in supporting our client communications, back-end operations, and client projects via email and our CRM platform, Honeybook. We’ll meet weekly and keep close daily communication via Slack. This is a part-time independent contractor role at an estimated 10 hours a week with room to grow.

You have previous experience in a virtual assistant role and you love implementing and managing multiple online platforms, all the techie backend platforms it takes to run an online business. You're skilled at not just spotting areas of improvement, but taking the initiative to solve them and make them better. You overall have that "I'll figure it out" attitude!

The ideal candidate has excellent written communication skills as well as an upbeat, friendly tone of voice that can help make our clients feel welcomed and supported. They work great independently while having the ability to interact effectively with clients. They are extremely organized and resourceful. They are a confident decision maker and strong attention to detail. They thrive in taking the lead in their own projects. They have a knack for communicating techie processes.

*Strong analytical and decision making skills (i.e. the ability to understand how multiple platforms fit together to create an automated funnel and to decide which platforms to use and why while taking into consideration the overall funnel goals)

*Excellent English oral and written communication skills

*Strong research skills with an “everything is figureoutable” attitude.

*Previous experience working remotely and/or working on a remote team

Bonus!

Experience with the CRM platform Honeybook and previous experience working with a brand and/or website designs is a bonus!

AS OUR VA, YOU’LL BE RESPONSIBLE FOR:

Communication & Operations Support -

  • Handling inbox/client emails and responding within 24 hours

  • Following up with clients on project reminders, invoices, proposals, etc.

  • Responding to new client inquiries and potential leads with next steps via Honeybook

  • On-boarding new clients (sending welcome packets via Honeybook, ensuring we have all forms and project requirements prior to client start date)

  • Support with off-boarding clients (sending client thank you gifts, ensuring clients have all final files, sending launch celebration packets, etc…)

  • Support with scheduling client calls and managing the CEO’s calendar

  • Creation, management, and maintenance of Honeybook files and support with client smart files (This includes proposals, invoices, welcome packets, client design reviews, website copy forms, client questionnaires, etc…)

  • Setting up and managing automations via Honeybook

  • Supporting client project questions (Client questions categories include but not limited to Squarespace platform and pricing, domain and professional emails, timelines, brand design, brand and website design packages, a la carte add-ons, seo, platform pricing, etc…)  

  • Supporting client project workflow, timelines and project communication via Honeybook (Project communication and workflow including but not limited next steps on taking Squarespace website live, securing domains and client professional emails, booking call times, communication on domain verification, sending smart files via Honeybook, ect…)

  • Admin tasks that come up on a weekly basis

  • Being the CEO’s eyes and ears and making sure nothing gets missed: attention to detail is your middle name!

  • Managing Social Media Marketing Funnels (Linkedin funnel engagement, answering design/brand/website questions in Facebook groups, responding to design work opportunities, Instagram engagement)

  • Designing and Sending Marketing Email via Flodesk

  • Updating Client Design Review Templates Outside of Honeybook (Adobe Illustrator, Canva, Photoshop Mock-Ups)
